Booking Terms and Conditions

The Contract and Liability

For Direct Bookings only

For Letting arrangements made directly with the Owner,  the contractual relationship in connection with the letting will be between you as the holidaymaker (‘Customer’) and us, the Owner.

On placing a booking, once confirmed by us, you the Customer enter into a short-term holiday rental agreement with the Owner. The agreement shall be governed by and construed in accordance with the laws of England and Wales. These conditions shall be deemed to have been accepted by the Customer at the time of completing the booking form, booking by email or by telephone, or when either the deposit or full payment for the holiday is received by Owner.

Once the completed Booking Form and the Initial Deposit have been received and accepted by the Owner,  you will receive written confirmation. You should carefully check the details of the written confirmation and inform the Owner immediately of any errors or omissions.

The Owner reserves the right to refuse any booking without giving any reason. In this eventuality any money you have paid will promptly be refunded. The Owner shall have no liability to the Customer for any other fees, expenses, damages or loss resulting from the booking.

We require the name, age and contact details of the lead booker and the names and ages of all other guests. Bookings cannot be accepted from persons under eighteen years of age.

Limitation of Liabilities and Legal – Please pay particular attention to this section

The contract to occupy the Property is made on the basis that the Property is to be occupied by the Guests for a holiday (as mentioned in the Housing Act 1988 Schedule 1 paragraph 9 or similar legislation in other jurisdictions).

When making a booking, you acknowledge on behalf of all Guests that the tenancy granted by these terms and conditions is not an assured tenancy and that no statutory periodic tenancy will arise when it ends.

Once you have made a booking there is no “cooling off” period as the contract you have made is for accommodation services for a specific period of performance. You can see further details in the section “When you don’t get 14 days to cancel” on the citizen’s advice bureau website.

Your (and any members of your party) personal belongings and vehicles are left at the property entirely at your own risk. The Owners accept no liability to you or any member of your party for loss or damage to your personal property.  

If either you or the Owners fails to comply with these terms and conditions you or the Owners will be liable (only) for losses which are a foreseeable consequence of the failure to comply with the applicable terms. Losses are foreseeable where they were contemplated by you and the Owner at the time you made the booking.

Nothing in these terms and conditions will limit our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our or the Owner’s negligence or the negligence of our or their employees, agents or subcontractors, or for fraud or fraudulent misrepresentation.

Any dispute, claim or other matter which may arise in relation to your booking will be governed by English law and you agree that any dispute will be dealt with exclusively by the courts of England and Wales.

Prices, Payment and Deposit

No contract with the Owner exists until a minimum of 10% deposit payment has been received by the Owner and a confirmation of the booking has been issued to the Customer. The contract is subject to these booking conditions.

If the letting start date is within four weeks of the date of the Owner receiving the booking request, the full amount is payable. Once a deposit is paid, the Customer becomes liable for the balance of the rent and this must be paid a minimum of four weeks before the commencement date of the holiday.

If you fail to make a payment due,  in full and on time we may treat your booking as cancelled by you.  Payment is accepted by Bank Transfer.

A cleaning/damage deposit, referred to as a ‘Security Deposit’ is requested by the Owner before acceptance of any booking.  

The Owner reserves the right to change the advertised prices of any property without notice. The holiday price will be confirmed at the time of acceptance of the booking and is fixed at that point. No increase will subsequently be requested or reduction offered if the prices change after the booking has been confirmed.

Cancellation

Cancellations must be immediately notified to us by email. 

Cancellations as a result of “Government Order or a Change in Law”, excluding weather-related advice, will receive a full refund or can ask to reschedule for a later date. Cancellations for any other reason will be subject to our standard cancellation terms as follows.

If a Customer cancels their booking and we are able to re-let the dates, we will refund the Customer the amount from any replacement booking (which may be less than they paid e.g. if the final letting price was discounted or only some of the days are re-let) minus an administration fee of £45. If we are unable to re-let the Customer remains responsible for the rental and there will be no refund under any circumstances, other than the return of any security/damage deposit which has been paid. 

We strongly advise Customers to take out independent holiday insurance for their stay as we are unable to offer any refund or deferral option due to illness.

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, or destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the lodging costs based on the time remaining of the booking. This will be the full extent of the liability of the Owners. No additional compensation, expenses or costs will be payable.

Change of Dates Booked

Once a booking has been accepted by the Owner, it can only be changed to another date, by treating the original booking as a cancellation, and is subject to our Cancellation Policy (see above).  If, at the Owners discretion, agreement has been given to ammend the dates outside of the cancellation policy, administration charges will be applicable. 

Period of Hire

The letting can be for a maximum of 30 days, unless otherwise agreed in writing.

Unless stated otherwise on the booking confirmation, the rental period commences at 4:00pm on the day of arrival and terminates at 10:00am on the day of departure. These times must be respected in order for us to ensure our full service standards can be adhered to. Please be aware that the whole property has to be cleaned and prepared during a limited changeover period and maintenance issues resolved too, which can easily take 6 hours.

If your arrival will be delayed significantly, you must contact the Owner, so that alternative arrangements can be made. If you fail to do so you may not be able to gain access to the property. If you fail to arrive by midday on the day after the arrival date and you do not advise the contact of your anticipated late arrival we may treat the booking as having been cancelled by you.

Check-out –Please vacate the property by 10am on the day of your departure.  Empty the bins, strip the beds, clean dirty dishes and leave the property as you found it.

Keys

Keys must be collected and returned as per instructions provided.

Any loss of keys should be reported to the Owner immediately.  There will be a charge of £20 per replacement key.

Use of Property

The booking shall be deemed to be for the purpose of the person or people whose names appear on the booking form. The maximum number of persons allowed at the property is stated in the particulars and corresponds to the number of beds provided and MUST NOT be exceeded. In the event the maximum number of allowed persons has been exceeded the Owner has the right to revoke the booking without refund and ask all persons to leave the property immediately.

Only the persons whose names are detailed on the booking form are permitted to stay in the property.  In Order to comply with legal requirements in the UK, Photo ID will be need to be seen for all guests at check in.  Any changes to the details of guests on the Booking form, need to be notified to the Owner.  Any changes to the booking details can be made, however this will incur an administration fee of £45.  

Please inform us at the time of booking, if any member of your party are disabled, sensory impaired or less able bodied and would need assistance in the event of a fire.

Bookings will not be accepted from parties of young people or single sex parties of more than four people without agreement and we reserve the right to refuse or revoke any bookings from parties which may in our opinion be unsuitable for the property concerned.

If you want to use the services of a third-party supplier (e.g. a chef, beauty treatments) this must be agreed beforehand. If you bring a third-party supplier without consent, we reserve the right to ask them to leave. We do not accept liability for the activities of these third-party suppliers.

There are fields and paddocks adjoining the Barn.  Some of these are arable, some have animals within them.  By all means enjoy seeing and being close to the animals and wildlife but please do not approach or attempt to touch these animals as this can scare them away.  

Please ensure you, and any member of your party and their guests, do not enter any paddocks or fields, and please do not open any field gates under any circumstances.

You are responsible for the supervision of all members of your party under the age of 18 at all times.

No parties are permitted to be held within the house or grounds the property without the Owner’s permission. Party decorations are not to be aplied to the property by celotape, pins or Blue Tac due to the damage this may cause.  A charge may be applied to cover the cost of  any repairs required  following your stay.

The property is for holiday purposes only. The property must not be used for commercial purposes which includes the use of sound and video recording equipment.  Anyone found to be breaching this term will have their stay terminated.

Site location filming may be permitted by prior negotiation.  However, an additional location fee will be payable on top of the daily chargeable rate.

Visitors

If you would like guests to visit you during your stay, we will require prior notice about the date and number of guests who will be visiting. This is very important for Fire and Safety  regulations as well as for Insurance purposes.  

No additional guests are allowed to stay overnight during your stay, unless previous consent has been given in writing and their names provided.  This may also incur an additional nightly fee for extra guests.  

Care of the Property

The Customer is required to keep the holiday home and all furnishings, fixtures, fittings and effects in the same state of cleanliness, repair and condition as they were in at the commencement of the holiday and will be responsible for any damage to the holiday property or the furniture, fixtures, fittings and effects and must ensure that the property is left clean and tidy, both inside and outside the property. Anything broken or damaged should forthwith be repaired or replaced with an article of similar type or value to the satisfaction of the owner. If this is not possible any damage or breakage should be reported to the Owner immediately and paid for before departure. In default of such obligation, the Customer is legally obliged to reimburse the owner against any costs incurred by the Owner in remedying such default.

The Owner reserves the right to charge the customer for the cost of repairing any damage and/or replacing damaged items caused by the Customer or their party during the stay. The property is required to be left in a clean and tidy condition, as found. If any exceptional cleaning is necessary, the Owner will charge the Customer direct and legal action will be taken in the event of non payment.

The Customer must not assign or part with the possession of the property or any part of it or anything contained in the property or use it other than as a single dwelling for holiday occupation by the people whose names appear on the booking form.

The Customer must ensure that nothing happens which may be a nuisance or inconvenience to occupiers of neighbouring property or adversely affect any insurance of the property.

Please lock the doors and close the windows when you leave the property unoccupied.  Please make sure you switch off lights and any electrical appliances when you go out.

E-Scooters are not permitted to be kept  at the property as they contravene our fire safety risk assessment.  Anyone found charging an e-scooter may have their stay terminated with no refund given.

Non-compliance with the house rules will be considered as a breach of the terms and conditions of the rental agreement. We reserve the right to terminate the booking with immediate effect and without a refund if they do not abide by the rules.

The property is part of our home. We expect all guests to enjoy the facilities we have provided and treat the properties with the same respect as they would their own home.

Damage/Cleaning Deposit

It is a requirement when booking with us, to pay an Accidental Damage Deposit/Good House keeping deposit.  

The Accidental Damage Deposit is due with the balance and it will be cashed on receipt and held by us to be applied against the reasonable costs of miscellaneous repairs to and/or replacement of and/or additional cleaning of furnishings, kitchen equipment, crockery, glass, keys, bedding and towels damaged or soiled otherwise than by usual wear and tear during the period of the booking by you or your Guests. The balance of the Accidental Damage Deposit will be returned to you within 7 working days of the departure date. Where such costs exceed the Accidental Damage Deposit you agree to pay such excess to the Owner promptly and in any event within 14 days of being notified.

Please treat the facilities and accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged or not functioning in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before checkout. 

If damage occurs and the owner must cancel and/or refund subsequent bookings, the owner may bring a claim against you for any loss arising as a result.

Refuse Collection

It is the guest’s responsibility to make sure the correct rubbish bins (black, green) are moved to the correct location ready for collection. Please be advised that Black and Green bins are collected by the local authority on an alternate fortnightly basis which is generally a Thursday. The Owners cannot be held responsible for the removal of excess rubbish. Excess rubbish which requires removal shall be charged to the guest at a minimum charge of £50.

Hot Tub

The Hot Tub rules need to be adhered to, to ensure Health and Safety expectations.  Failure to comply with these expectations may result in the Hot Tub being drained and turned off to prevent damage.  In this event,  no refund or recompense will be offered.   If any damage occurs to the Hot Tub, or any of its components, the cost of replacement or repair will be invoiced to the lead/booking guest.  

The Hot Tub is only for the guests staying at Bumble Bee Farm. 

The power supply is located behind the hot tub. Please ensure this does not get turned off.

Health & Safety

Guests must shower before entering the hot tub to remove lotions, oils, and cosmetics.

Children must be supervised at all times.

Pregnant women and individuals with heart conditions or other health concerns should consult a doctor before use.

Do not use the hot tub while under the influence of alcohol or drugs.

Maximum Occupancy

The hot tub is limited to 5 guests at one time. Overcrowding can damage the system and pose safety risks.

Hygiene & Cleanliness

No food, drink, or glassware is permitted in or around the hot tub.

Please do not add any substances (e.g., bubble bath, oils) to the water.

If the hot tub requires draining and refilling due to misuse, a cleaning fee of £100 will be charged.

Damage & Liability

Any damage caused to the hot tub or surrounding area will be charged to the lead guest.

Guests use the hot tub at their own risk. The property owner is not liable for accidents or injuries resulting from improper use.

Maintenance & Access

The hot tub is serviced regularly. Staff may require access during your stay for maintenance or water quality checks.  If the hot tub is unavailable due to maintenance or safety concerns, no compensation will be offered unless otherwise stated.

Weather Conditions

The hot tub shud not be used  during extreme weather (e.g., storms, freezing temperatures) for safety reasons.

By confirming the booking, through the deposit payment, guests confirm they have read and agree to these hot tub terms and conditions.

Noise

We respectfully request that due consideration is shown to the inhabitants of neighbouring properties and noise is kept to a minimum, particularly late at night or in the early morning.

Children and Safety Advice

Customers must accept full responsibility for the safety of any children in their booking party. Our rental properties are general domestic properties and no assurances can be provided as to the safety or suitability of the property for the Customer, or the Customers’ children. Cots, highchairs and other baby equipment may be available upon request for infants but Customer are advised to check the safety of any such items before use and also the circumstances of the environment within which they are to be used. Travel cots provided do not include mattresses or bedding for safety reasons, and you will need to bring your own.

The Owner draws the Customers’ particular attention to keeping a close eye on children of all ages (or other members of the party who may not be able to adequately identify risks) whilst at the property, particularly in regard to the proximity of roads and rivers, open windows and the use of BBQ equipment. The Owner accepts no responsibility for any accidents that happen as a result.

Customers must take extra caution with children near water. Do not permit any children to access the outside areas unattended and they should be closely supervised at all times.

Right of Access

The Owner, or any Agent thereof, shall be allowed the right of entry to the property at all reasonable times during a Customers’ stay for the purpose of inspection or to carry out necessary cleaning, repairs or maintenance. However, we will seek to minimise any disruption.

No Smoking Policy

Smoking is not allowed in the property.

Vaping or smoking or the lighting of candles anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments.  This must be strictly adhered to, and any damage or extra cleaning caused will be at your expense.

Use of Cleaning Materials Provided in the Property

Complimentary cleaning materials are s provided, however whilst every effort has been made to ensure they are hypoallergenic, use of these items is at the Customers own risk and no responsibility will be accepted for any adverse reaction.

Pets

Bumbe Bee Farm idoes not zallow for customers to bring their pets.  This must be strictly adhered to.  At the point of booking your holiday, you are deemed to have confirmed your adherence to our booking conditions.

Website and Advertising Information

The Owner takes every care to ensure the accuracy, both written and verbal, of the property, the village and local amenity details. All information on the website, on third-party websites, in printed material and provided in email or verbal communications is given in good faith and is believed to be correct at the time of writing, going to press or otherwise communicated. However the Owner cannot be held responsible for changes beyond its control which may become known after writing and going to press. 

Please remember that properties in the country do attract spiders and therefore cobwebs. It does not mean that the Property is dirty or has not been cleaned as cobwebs can be spun almost as quickly as they have been cleaned away.  Please be tolerant of the sounds and scents that you may encounter, they are all a part of the countryside experience

The description of a property shows the amenities that property has but generally does not state what is not in the property. Furthermore, the Owner cannot accept liability for happenings outside its reasonable control such as the breakdown of domestic appliances, heating systems, plumbing, wiring, temporary invasion of pests, interference from neighbouring buildings works, damage resulting from exceptional weather conditions.

If there is a breakdown of any of the utility services at the property (ie. heating, electrics, broadband, etc) the Owner will make every endeavour to get the problem fixed as soon as possible and will take any appropriate steps to provide an alternative source of heat/power. No refunds will be provided for any loss of amenity in this respect.

Confirmation should be requested prior to booking if there is any particular detail or facility that is important to you. When you make a booking the Customer accepts that minor differences between text/photographs/illustrations in the brochure and on the Website and the actual Property may arise. We cannot accept responsibility should the Property not conform to a Customer's standards.

Broadband Internet Access

Broadband internet access is offered on a complimentary basis and is not guaranteed to always be available or at the speed you may be used to. Your use of the internet is conditional upon it being used for legal purposes only.

Electrical Vehicle Charging Policy

There are plans being made for an EV chrging pont to be added at Bumble Bee Farm, however currently you must make your own arrangements for EV charging. Domestic chargers (commonly known as granny or trickle chargers) are not suitable for use at Bumble Bee Farm and will create a fire hazard. The use of domestic chargers via a 3-pin wall socket either from within or outside the property is strictly forbidden. We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use in the Property. You are solely liable for any damage or loss suffered by us as a result of your unauthorised use of domestic chargers.

Complaints

Every effort has been made to ensure that you have an enjoyable and memorable holiday. If however, you have any cause for complaint it is important that remedial action is taken as soon as possible.

If the Customer has a genuine complaint in respect of the holiday home then this should immediately be reported to the Owner, for which contact details are provided in the property. 

Complaints which are not reported immediately will not be entertained subsequently and certainly not after the end of the rental period. The Owner must be given the opportunity to rectify any problem identified by the Customer during their stay. No correspondence will be entered into in respect of complaints made on departure or after the Customer’s return home.

 

Please note that by signing the booking form and/or making an email or telephone booking with the deposit/hire charge paid, you have accepted these terms and conditions. You must ensure that ALL members of your party understand and comply with these terms and conditions. A legally binding contract has been entered into. The Owners reserve the right to demand the immediate departure of any guests who fail to comply with these Terms & Conditions and for conduct deemed to be detrimental to the property.

All the information on our literature and website is believed to be correct but we cannot accept liability for losses arising from any unforeseen changes, errors or misunderstandings and we reserve the right to alter or amend the facilities we offer.
